Frequently Asked Questions

A Run of Show (ROS) is a detailed, time-coded event script that outlines every segment of a production or event—from start to finish. It includes precise timings, activity descriptions, technical cues (lighting, sound, video), and owner assignments. Event producers, stage managers, and AV teams rely on it to ensure seamless execution.

Cues are precise trigger points for technical teams—lighting changes (LQ), sound effects (SQ), video playback (VQ), or stage movements (STQ). Including cues in your Run of Show ensures every department knows exactly when to act, preventing coordination errors and awkward pauses during live events.

This builder calculates times automatically. Set your event's start time, then enter the duration (in minutes) for each segment. The tool cascades the math—every row's start time equals the previous row's start time plus its duration. Modify any duration and all subsequent times update instantly.

An agenda is a high-level schedule for attendees (e.g., "10:00 AM – Keynote"). A Run of Show is a production document—it includes second-by-second timings, technical cues, backstage notes, and owner responsibilities that the audience never sees. ROS documents are used by the production crew, not distributed to guests.

Yes! Click the Print button to open the browser print dialog—from there you can save as PDF or print a clean, formatted copy (editing controls are automatically hidden). You can also use Copy to copy the entire run of show as formatted text for pasting into emails, docs, or production software.

Common pitfalls include: underestimating transition/gap times between segments, forgetting to include buffer time for speaker walk-on/walk-off, not assigning clear owners for each segment, and neglecting technical setup/reset cues. Always add at least 2–5 minutes of padding between major segments for live events.
